The Problem

Romanian accounting firms juggle dozens of client companies, each with its own recurring fiscal obligations — monthly VAT, quarterly declarations, annual filings — every one tied to its own validity window and renewal date.

Keeping all of that straight lived in spreadsheets and people's memory. A missed revalidation date isn't a minor slip; it means a client out of compliance, penalties, and an uncomfortable phone call. The mental overhead grew with every new client onboarded.

The firm needed a single place that knew every deadline for every client and employee, and that would reliably warn the right people in time — without someone having to remember to check.

The Solution

We built a multi-tenant admin platform where each accounting firm manages its own clients, employees, and fiscal records in complete isolation from every other firm, with role-based access for the team.

When a fiscal record is created, the system reads its revalidation cycle — monthly, quarterly, or yearly — and schedules the right notification automatically. A background process runs continuously, groups each firm's due notifications into a single clear email, and respects how often that firm wants to hear from it, so inboxes stay useful instead of noisy.

Recurring obligations take care of themselves: once a deadline passes, the platform reschedules the next one on the correct cycle and keeps going until the obligation actually expires. The interface and notifications are fully in Romanian, so the team works in its own language.

Under the hood it's instrumented for observability and signs every email with DKIM, so delivery is dependable and the firm can trust that the warnings actually arrive.
